The opportunity
We are looking for a proactive, detail-oriented Administrative Assistant to provide vital support to the Head of Marketing Launch EU (SVP) and the European innovative medicines commercial team. This role combines executive administrative responsibilities with operational support and you will be part of operations team, reporting into the operations lead. This is a full-time role (or 36+ hours per week) based at our Haarlem office.
The ideal candidate is a problem-solver who thrives in a collaborative, fast-paced environment and is flexible to work with diverse teams across multiple functions.
How you’ll spend your day
Executive Support
Provide administrative support to the SVP across various areas such as:
Take full responsibility for SVP’s calendar.
Support and work closely with the SVP on coordinating and scheduling meetings.
Arrange both domestic and international travel, including visa processing and accommodation.
Act as a liaison on behalf of SVP towards organization and external partners.
Assist with local needs.
Support system-related processes for the SVP.
Process expense reports.
Operations Team Support
Provide together with the operations team comprehensive administrative support to the European innovative medicines commercial team across various brands.
Maintain and update contact lists.
Set up and maintain digital filing systems for ease of access.
Support contract management, approvals, and system-related processes.
Handle procurement process and invoice processing accurately.
Assist with planning congresses and coordinating logistics for internal/external events, workshops, and team activities, includes preparing materials, logistics, tracking actions.
Help maintain operational dashboards and assist with planning efforts.
