Office Manager & Employee Experience Specialist
Novidea is an insurance technology company solving the toughest challenges faced by insurance brokers, agencies, MGAs and cover holders. Our innovative, data-driven insurance software platform allows users to manage the entire policy life cycle across all lines of business, using data to inform every business decision, cross-sell and up-sell. What’s the Job? We are seeking an organized and proactive Office Manager & Employee Experience Specialist to join our team. The ideal candidate will be responsible for overseeing day-to-day office operations, ensuring smooth administrative processes, managing office supplies, coordinating with vendors and visitors, employees welfare (happy hours, holiday gifts, organizing special occasions) and supporting staff to create a productive and positive work environment. The position requires arriving to the office 5 times a week. What you’ll do
* Manage and oversee the daily operations of the office to ensure a smooth workflow.
* Maintain office supplies inventory, anticipate needs, and coordinate orders with vendors.
* Ensure office cleanliness and maintenance by liaising with building management and cleaning staff.
* Oversee the implementation and maintenance of office procedures and processes.
* Handle incoming and outgoing correspondence, including mail, phone calls, and emails.
* Plan and Execute the annual employee experience plan and budget, including company events, holidays, happy hours, gifts, recognition , and employee life events.
* Manage and develop community relations and volunteer activities
* Serve as a point of contact for employee feedback and suggestions, working to improve office culture and overall employee satisfaction.
* Monitor and manage office budgets, including office supplies and equipment.
* Track and report expenses, including processing invoices and working with the finance team for budgetary matters.
* Support all employee life cycle stages and experiences from onboarding to offboarding
* Ensure a welcoming and comfortable environment for employees and visitors.
What you’ll bring
* 1.5+ years of proven experience as an office manager or relevant role.
* Experience in a startup company.
* High-level English, both written and spoken – Must.
* Strong organizational and multitasking skills with the ability to prioritize and manage multiple responsibilities.
* Excellent interpersonal and communication abilities.
* Creative thinking with a can-do attitude from initiative to execution
* Self motivated and proactive team player
* Proficiency in office software (e.g., Excel skills, Microsoft Office Suite, Google Workspace).
* Arrival to the office 5 times a week.
* Ability to work both independently and collaboratively in a fast-paced environment.
* Problem-solving mindset with attention to detail.
* A bachelor’s degree or relevant higher education is an advantage
